Position Title: Assistant (Driver & Administrative Support)
Location: Embassy of Iceland, Brussels
Employment type: Full-time

Purpose of the Position

The Assistant provides essential support to the Embassy’s daily operations. The role combines driving duties with office and residence assistance, event preparation, light maintenance oversight, and general support for the Embassy’s work in Belgium, the EU, the Netherlands, and Luxembourg.

Main Responsibilities

1. Driving and Vehicle Duties

• Serve as the Embassy’s primary driver, transporting the Ambassador, staff, and visiting officials.
• Drive to meetings and events in Belgium and occasionally in neighbouring countries (Netherlands, Luxembourg).
• Ensure safe, punctual, and courteous service.
• Maintain the Embassy vehicle in good working condition, including scheduling servicing and upkeep.

2. Office and Administrative Support

• Provide general office assistance, [including answering inquiries via phone and email].
• Assist with meeting preparations and logistics.
• Support Embassy staff in day-to-day administrative tasks.

3. Events and Residence Assistance

• Assist with preparation and execution of official receptions, dinners, and other events at the Embassy or the Ambassador’s residence.
• Provide logistical and practical support during events.
• Help with light maintenance and oversee contractors/service providers as needed.

4. General Support for Embassy Work

• Assist in the promotion of Icelandic culture, interests, and visibility in Belgium and the EU.
• Undertake other tasks as directed by the Ambassador and senior staff.

Requirements

• Valid driver’s license and clean driving record.
• Fluency in English; knowledge of French or Dutch an advantage.
• Residence permit and legal right to work in Belgium.
• Proven flexibility, reliability, and ability to multitask.
• Handy and practical, able to take care of small fixes and oversee maintenance work when needed.
• Willingness to work occasional evenings and weekends.
• Experience in event support, property oversight, or administrative assistance is desirable.
